Facility Operations/Security/Event Management: Event Operations/Management
EVENT MANAGER - Spectra Venue Management- Duke Energy Convention Center (Cincinnati, OH)

SUMMARY:     

Provides professional client services support while serving as the primary liaison between clients and facility departments to oversee all aspects of facility operations related to events.  Requires commitment to work a flexible and irregular schedule, including lengthy hours, early mornings, late evenings, weekends and holidays according to specific event agendas and assignments.

ESSENTIAL FUNCTIONS (include, but are not limited to…)

·         Responsible for planning, coordinating, & facilitating the logistics of events hosted within the facility

·         Serve as the primary building liaison between clients & facility departments to ascertain precise event requirements

·         Frequently required & responsible to work a flexible & irregular schedule, including lengthy hours, early mornings, late evenings, weekends & holidays as required by specific event agendas & event assignments

·         Communicate timely & accurate event specifications with building staff & communicate all requirements of the pre/present/post event schedules and agendas

·         Produce & distribute event resumes utilizing the Ungerboeck EBMS event management software program

·         Ensure all event insurance certificates & licenses and/or permits required for production of events are obtained in a timely manner & adhered to; including enforcing City of Cincinnati ordinances & codes, City of Cincinnati & NFPA fire code requirements, etc.

·         Serve as facility manager on duty as required by event assignment schedule of events

·         Intermittently assist other Event Managers with additional event management coverage as required per events

·         Conduct room setup specification checklists

·         Administer events and ensure Global Spectrum management policies & procedures & objectives are upheld

·         Prepare client/exhibitor event management packet & distribute to clients

·         Participate in event previews/reviews in weekly Production staff meetings

·         Receive, respond, & resolve challenges and complaints that may occur during events from clients or guests

·         Assist Engineering Department with electrical payment collections duties and responsibilities as required

·         Distribute post event client surveys

·         Interacts with other facility staff in a professional, courteous, & cooperative manner.

Employees in this role will frequently be in leadership role; this requires directing others either verbally or in writing to complete tasks in prescribed time frame.  This position also requires frequent use of interpersonal skills including: ability to direct/motivate/inform staff and foster collaboration, being able to recognize and resolve conflicts, being able to openly communicate in writing and verbally with clients.

Physical Demands:

  • While performing the duties of this job, the employee will frequently operate a computer and other office devices such as calculators, telephones, copy machines, faxes and printers.  Employee will constantly move about inside and outside various areas of the facility before/during /after events to interact with internal/external clients and supervise the work of employees during events.  Employee must constantly communicate via telephone, email and in-person with others and exchange accurate information.  Employee may occasionally be required due to business demands and event operations to lift and/or move up to 25 pounds.

 

Work Environment:

  • The duties of this position are performed indoors in an office and/or warehouse environment and outdoors as necessary and required by certain events.  The noise level in the work environment is usually minimal to moderate during non-event days and moderate to loud during move-in days and event days.

PREFERRED QUALIFICATIONS:

Experience:

  • Minimum (2-4) two to four years of event management experience in a public assembly venue preferred; equivalent work experience will be considered

 

Education / Training:

  • Proficient in use of Microsoft Office programs; experience with AutoCAD & Ungerboeck EBMS preferred

 

  • Bachelor’s degree or better earned from an accredited college or university with major course work in facility management, marketing, business administration or related field or related experience.

EXHIBITOR SERVICES MANAGER - Spectra Venue Management- Duke Energy Convention Center (Cincinnati, OH)

SUMMARY:

Provides professional client services support while serving as the primary liaison between clients and facility departments to oversee all aspects of facility operations related to events.  Supervises and coordinates the activities and operations for client services support while serving as the primary liaison between exhibitors and facility departments to process exhibitor electrical, utility and cleaning orders: Effectively communicates these needs to the Utility Services Manager (USM), Exhibitor Services Coordinator, Electrical Engineer, sub-contracted engineering staff and the operations department.  Job responsibilities also include on-site Exhibitor Service Desk coverage as required per event specifications.  Requires a commitment to work a flexible and irregular work schedule according to specific event agendas and assignments, including lengthy hours, early mornings, late evenings, weekends and holidays

ESSENTIAL FUNCTIONS (including, but not limited to…):

  • Responsible for planning, coordinating & supervising the logistics of completing exhibitor service orders

  • Process exhibitor service orders and provide show support while operating the Exhibitor Services Desk as needed during Trade and Consumer shows and some special events when warranted

  • Process credit card orders and record all money received for exhibitor services pre/present/post events

  • Process, distribute, and track all exhibitor services orders

  • Process Exhibitor Service collections following show floor electrical audits to collect payment for services

  • Work closely with Event Managers to coordinate exhibitors/clients customer services relations

  • Coordinate with Director of Event Services and Event Managers in customizing Exhibitor Kits for required service forms

  • Participate as a Committee Member for in-house produced consumer shows or special events as assigned

  • Assist the Event staff with coverage of events while serving as the Facility Manager on Duty as required

  • Frequently required & responsible to work a flexible & irregular schedule, including lengthy hours, early mornings, late evenings, weekends & holidays as required by specific event agendas, event requirements & event assignments

  • Intermittently assist other Event Managers with additional event management coverage as required per events

  • Exercise discretion and utilize independent decision making during events that will best represent the Duke Energy Convention Center and serve the client

  • Interacts with other facility staff in a professional, courteous, & cooperative manner

  • Provide excellent customer service to internal and external clients

  • Experience in tradeshow and consumer show exhibitor services preferred

  • Working knowledge of MS computer applications

  • Capable of finishing multiple tasks in a timely and accurate manner

  • Possess superior communication and interpersonal skills and ability to work well with others

  • Ability to communicate clearly and concisely in the English language, both orally and in writing

  • Proven ability to handle money efficiently, while keeping detailed and accurate records

  • Ability to work independently and as part of a team

  • Must be available to work a flexible & irregular schedule, including lengthy hours, early mornings, late evenings, weekends & holidays as required by specific event agendas, event requirements & event assignments
