CONVENTION CENTER SALES MANAGER - Mass Mutual Center (Springfield, MA)

Job Title:                    Convention Center Sales Manager

Reports To:                Director of Sales

Supervises:                 None

Summary:                           Under general direction of the Director of Sales, Sales Manager will prospect and find events for the facility through an aggressive sales and marketing program.  To work with the client on initial rates and terms of the contract and to convey that information to other necessary facility staff to further work effectively with the client.

Status:                          Full-time Salaried non-exempt


  • Bachelor’s degree from an accredited college or university with major course works in marketing, communications, business administration, or hospitality management; additional years of experience may be substituted for formal education.

  • Minimum of two years of increasingly responsible experience in sales or marketing, preferably with a convention center, hotel, sports facility, performing arts facility or other multi-purpose public facility.

  • Possession of/or ability to obtain a valid driver’s license.

Job Functions: (including but not limited to)

  • Represent the facility as its primary sales representative locally, regionally and nationally.

  • Researches, identifies, and establishes the appropriateness of groups for the facility through daily cold calling and solicitations.

  • Assist in developing and implementing the sales/marketing activities of the facility.

  • Establish and maintain effective working relationships with the Springfield GSCVB, area hotels, facility staff, service providers and facility users.

  • Respond in a timely manner to inquiries by prospective and confirmed facility users regarding rental rates and space availability for the facility.

  • Conduct facility tours and make formal presentations to convention and exhibition managers and other facility users regarding facility booking policies, rental rates, services and operational policies.

  • Prepare written facility use proposals and cost estimates for potential facility users: reevaluate potential business value of various events and facility users; initiate booking discussions; finalize all booking arrangements.

  • Interpret and explain convention center booking and scheduling policies and procedures.

  • Assist DOS & DOM with sales and marketing initiatives that involve ad placement, ROI analysis and sales & marketing strategies.

  • Provide information to and relay information between other facility departments involved in servicing events.

  • As assigned, conduct a variety of industry related studies and recommend modifications to departmental service delivery methods and operational policies and procedures as appropriate.

  • Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.

  • Communicate problems and proposed solutions to the Director of Sales.

  • Submit regular activity reports and perform related duties as required.

  • Must be available for evening and weekend work as required.

  • Must be able to travel locally, regionally and nationally as required.

  • All other duties as assigned by Director of Sales.

Special Characteristics and Knowledge:

  • Knowledge of trace file system and other procedures used in group solicitation efforts.               

  • Cold calling and researching abilities.

  • Ability to formulate and implement an effective overall sales/marketing plan.

  • Ability to commit group bookings of the appropriate quality and quantity for the facility.

  • Ability to establish /develop selective selling techniques for scheduling groups during dates most beneficial to the local visitor economy.

  • Ability to attain appropriate scheduling balance between conferences of outside groups and appropriate community cultural groups.

  • Ability to make verbal presentations to groups of various sizes.

  • Ability to prepare appropriate reports and correspondence.

  • Work a flexible schedule including early mornings, days, evenings, weekends, holidays, extended (long) work days and extended number of days and frequent travel to off-site locations.

  • While performing duties of this job, the employee is continuously asked   to multi-task under time limits.  Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time.  Employee must be able to recognize and resolve conflicts and be able to openly communicate verbally and in writing with internal and external clients.

Physical Demands:

  • While performing the duties of this job, the employee may occasionally operate a computer and other office devices such as copy machines, faxes and printers.   Employee must frequently communicate via telephone, radio, email and in-person with others and exchange accurate information.  Employee will frequently be required due to business demands and event operations to lift and/or move up to 50 pounds and on occasion 100-150 pounds.

Work Environment:

  • When traveling, the work environment is consistent with normal exposures experienced while commuting by way of private and public transportation means including but not limited to moderate to loud noise, traffic congestion, detours, delays and all types of weather conditions.

  • The duties of this position are performed primarily indoors in an office environment.  The noise level in the work environment is usually minimal to moderate during non-event days and moderate too loud during event days.

  • Sales calls may require transportation both locally and out of town.

EVENT MANAGEMENT INTERN - Mass Mutual Center (Springfield, MA)

Job Title:                             Event Management Intern


Reports To:                         Director of Event Services and Event Manager


Hours:                                  Approximately 20-30 hours per week/ Flexible hours based on event schedule


Compensation:                                 Paid; $8/hour


Responsibilities include, but are not limited to, the following:

  • Create event information and scheduling in Ungerboeck Management System.
  • Meet with facility clients in advance of events and assist in determining event needs.
  • Provide information and direction to operations and support staff including audio/visual, telecommunications, set-up, custodial, maintenance, security, and admissions personnel.
  • Prepare AutoCAD drawings, layouts, diagrams, instructions, set-up requirements, and supporting documentation for each event and distribute to appropriate staff; communicate changes before and during events.
  • Submit service request to appropriate departments to schedule event staff according to client request; meet with clients to resolve set-up changes; ensure compliance with applicable fire, building, and safety codes.
  • Serve as facility representative at events; enforce facility policies and procedures throughout each event; identify and resolve event problems; resolve public complaints.
  • Prepare written evaluations of the events; distribute to appropriate management staff.
  • Answer questions and provide information to facility clients; support sales department to determine if prospective clients are appropriate for facility use; conduct facility tours as needed.
  • Prepare written cost estimate to all clients in advance of their event as well as to prospective clients.
  • Maintain accurate and complete files, records and other documents relating to assigned responsibilities.
  • Perform other duties and responsibilities as required.
  • Inter will also perform general customer service duties.
  • Assist with day-to-day building and planning operations: organizes data, attends appointments with clients, takes detailed notes etc. 
  • Perform general administrative duties (i.e. faxing, photocopying, and preparing tasks directly related to the event).


Qualifications and Requirements:          

  • College juniors, seniors, or graduate students

  • Recommended for Sport Management, Event Management, Hospitality, or related majors preferred

  • GPA of 3.3 or above highly desired

  • Active involvement in on campus civic and/or leadership activities highly desired

  • Willing to get involved in projects with varying degrees of difficulty.

  • Ability to provide exceptional customer service in a fast-paced, stressful environment.

  • Excellent organizational, communication, and interpersonal skills

  • Very strong ability to meet deadlines with high quality results in an environment

  • Ability to effectively manage multiple projects, tasks and duties.

  • Ability to work a flexible schedule including early mornings, days, evenings, weekends, holidays, and extended work days.

Job Title: Marketing and Group Sales Intern

Reports To: Marketing Manager

Hours: Approximately 20-30 hours per week/ Flexible hours based on event schedule

Compensation: Paid; $8/hour

Summary: This internship will work closely with the Marketing Department to learn and participate in publicizing the facility and/or events through a variety of traditional and non-traditional means for the purpose of selling tickets, booking meeting facilities, and creating public awareness for the MassMutual Center.

Responsibilities include, but are not limited to, the following:

  • Assist in developing and implementing marketing plans and promotions.
  • Participate in grassroots marketing, including distribution of flyers, hanging posters, and creating relationships with various retailers to promote events
  • Participate in brainstorming sessions and explain how to execute marketing/PR/group sales ideas
  • Draft and circulate press releases and media advisories
  • Work with Manager to learn how to create and deliver media drops
  • Assist department in gathering press clips and updating media contact lists
  • Perform variety of event day responsibilities within the Marketing Department Assisting with sponsorship sales and fulfillment of advertising contracts
  • Work and coordinate Marketing table at public relations, promotional, and venue events *This may include hours outside of 9-5, M-F
  • Perform additional duties and responsibilities as assigned
  • Assist Group Sales Manager with
    • Soliciting, managing and maintaining group sales accounts for the MassMutual Center.
    • Help with the development of Direct Mail pieces and their mailings. Performs general customer service duties.
    • Make sales calls to promote shows and gain group ticket sales.
    • Assist with day-to-day group sales operations: makes sales calls, sets appointments with clients, etc.

Qualifications and Requirements:

  •  College juniors, seniors, or graduate students
  •  Recommended for Sport Management, Marketing, Communications, Management, or Hospitality Majors
  • GPA of 3.3 or above highly desired
  • Active involvement in on campus civic and/or leadership activities highly desired
  • Excellent communication, organizational and interpersonal skills required
  • Must possess working knowledge of Word, Excel, PowerPoint and Photoshop
  • Demonstrated attention to details
  • Must be self-motivated with a ‘can-do’ attitude and a strong desire to learn
