BOX OFFICE MANAGER - The Mullins Center (Amherst, MA)

Summary: Responsible for overseeing box office operations including the managing of ticket on-sales as well as day-to-day ticket purchasing.

Job Functions:             

  • Works with sports and entertainment clients to develop manifests and put events on sale.
  • Works with Event Manager to insure efficient and effective ticket on-sales as well as patron satisfaction during events.
  • Works with contracted ticketing provider to insure proper internal operation of the computerized ticketing system. Also to insure all outlet and phone sales for the building are handled correctly.
  • Monitors daily ticket sales for upcoming events; prepares and submits a daily box office report of business to the Director of Finance.
  • Updates and coordinates all event information for ticket sellers
  • Works with Marketing to build accounts and process group sales orders.
  • Hires, trains, and schedules ticket tellers. Sells tickets and supervises will-call for events.
  • Records individual sales for all ticket shows.
  • Prepares final box office statement for event settlements.
  • Counts all monies received and makes bank deposits.
  • Other duties as assigned by the General Manager or the Director of Finance

Qualifications:

  • Bachelor’s degree required.
  • Demonstrated knowledge of accounting and finance procedures including record keeping and reconciliation.
  • Knowledge of computerized ticketing system (Spectra Ticketing System preferred) as well as other computer skills (Excel, Word etc.)

EVENT MANAGER - Mullins Center (Amherst, MA)

Summary:  Responsible for planning, organizing and controlling events within the Mullins Center & McGuirk Stadium including preparation of event outlines, scaled drawings, equipment coordination and event billing.  Ensures tenant requirements are met and facility rules, regulations and policies are adhered to by serving as a liaison between the facility and tenants, assisting tenants in the planning & execution of their events and performing other related responsibilities as required.  May be required to work extensive hours including nights, weekends & holidays.

Job Functions:  

  • Meet with facility clients prior to events and assist in determining event needs to advance shows; schedule related staff; provide information and direction to operations and other support staff and/or third party vendors.
  •  Prepare drawings, layouts, diagrams, instructions, set-up requirements and supporting documentation for each event and distribute to appropriate staff; communicate changes before and during events.
  • Submit service requests to appropriate departments to schedule event staff; meet with clients to resolve set-up changes; ensure compliance with applicable fire, building and safety codes.
  • Identify and resolve event problems and public complaints.
  • Prepare written cost estimates to prospective clients; coordinate and settle event financials.
  • Hire, train, supervise and evaluate large part time event staff including ushers, ticket takers, security, parking
  • Monitor part-time event staff hours using ADP e-Time, allocate hours to each event worked, edit and approve timecards for all hours worked.
  • Perform other related duties and responsibilities as required

Qualifications:

  • Bachelor’s Degree Required
  • Minimum of (2) years experience in a similar working environment
  • Candidate should possess strong leadership, supervisory and organizational skills and be able to function in a multi-task environment.
  • Strong written and oral skills is vital.
  • Proficient in use of Microsoft Word & Excel.
