PREMIUM SERVICES AND MARKETING COORDINATOR - The Ryan Center and Boss Ice Arena (Kingston, RI)

Job Description:

The Premium Services and Marketing Coordinator is responsible for the coordination of the marketing, and fulfillment of premium seating including; luxury suites, and auxiliary spaces within the Ryan Center, as well as coordination within the Marketing Department to market and sell events under the direction of the Director of Marketing and Director of Ticket Operations.

Duties will include but not limited to:

  • Servicing & fulfillment of Premium Services clients for all events (Suites, Alumni Lounge, Concourses, Rhody Pub and any other special spaces).
  • Hiring, training, supervising and retaining of premium area event staff, marketing interns and street teams
  • Creation and development of Premium Services presentation materials and collateral materials.
  • Liaison with Senior Ticket Sales Manager for special event execution.  Responsibilities include but not limited to event logistics, ticket coordination, food orders, rental space management and coordination.
  • Responsible for communicating to clients and prospects through various means including direct contact, corporate partner gatherings etc.
  • Meet with event clients prior to events and assist in determining event needs, oversee related staff and provide information and direction to in-house departments and support staff.
  • Liaison with catering department responsible for communicating upcoming event rentals and contracts for potential catering orders.
  • Assist Director of Marketing with projects involving research and design
  • Actively participate in brainstorming sessions
  • Assist in the creation and implementation of grassroots marketing plans
  • Assist in the creation and implementation of marketing and sales campaigns to maximize event awareness and exposure
  • Under the guidance of the Director of Marketing, develop a comprehensive marketing plan for Boss Ice Arena, manage Ice Arena marketing budget and negotiate and develop media advertising promoting Boss Ice Arena in the community
  • Organize marketing & sales presentations
  • Develop promotions and day of event activities
  • Develop brochures and collateral materials including the Annual Report
  • Social Media – oversee under the direction of Director of Marketing the various Ryan Center and Boss Ice Arena Social Media sites to include but not limited to Facebook, Twitter, Pinterest, Instagram and others.
  • Assist in the development and delivery of promotional emails through Neolane software promoting upcoming events including athletic events
  • Responsible for the management and maintenance of the Boss Ice Arena Website.
  • Assist Ticket Office when necessary with Season Ticket Pre-Season and Post Season Fulfillment.

  • Other duties as assigned

Qualifications:

  • Bachelor’s degree from an accredited college or university with major course work in Marketing, Business Administration or related field.
  • Minimum of two years’ experience in a similar working environment preferred.
  • Strong written and oral communications skills in the English language
  • Strong organizational, customer service and motivational skills required.
  • Proficiency in MS Office applications.
  • Proficiency in Adobe Photoshop
  • Knowledge of  email development software (ex. TM Messenger or Neolane)
  • Knowledge of Paciolan CRM, Salesforce or other CRM software
  • Knowledge of HTML or web hosting software
  • Ability to work event nights/weekends as required
  • Ability to operate a motor vehicle.

  • While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits.  Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. Employees in this role will constantly be in leadership role; this requires directing others either verbally or in writing to complete tasks in prescribed time frame.  This position also requires constant use of interpersonal skills including: ability to direct/motivate/inform staff and foster collaboration, being able to recognize and resolve conflicts, being able to openly communicate in writing and verbally with clients.

 

Physical demands:

  • While performing the essential functions of the job, the employee constantly operates a computer and other office devices such telephones, copy machines, fax machines, etc; occasionally moves about inside the office to access storage areas, cabinets and office machinery; constantly moves about the arena and event sites before, during and after events to service clients and supervise staff; constantly communicates via telephone, email and in-person with others to exchange accurate information.

 

Work environment:

  • The duties of this position are performed indoors and occasionally outdoors in the weather conditions prevalent at the time. The noise level in the work environments is usually moderate to loud during events and minimal during non-even times.
