RESPONSIBILITIES:

    Maintain administrative office operations including: answering multi-line telephone, daily opening and closing of office, assisting guests and employees.
    Maintain office efficiency by ordering supplies for all departments and maintaining copier, fax, and printers.
    Process and distribute the mail on a daily basis; prepare any checks received for deposit.
    Assist all departments in faxing, scanning, filing, copying, and mailings (including overnight mailings, financial statements, and accounts payable).
    Assist the General Manager and Assistant General Manager in preparation of event contracts, maintaining the facility&amp;rsquo;s event calendar, preparing event announcements. Help ensure that all deadlines are met including deposits due and payable, event settlements, invoice requests, and check requests.
    Assist the Senior Event Manager and Event Manager in scheduling meetings and other rentals in the multi-purpose room. Will serve as first point of contact for new clients wishing to rent the room and ensure that the client&amp;rsquo;s needs are met in all aspects of planning their event. Maintain list of monthly activity for finance department.
    Create and maintain the master event files (in paper format) ensuring that checklist of items is completed and all documentation is filed.
